HANDOFF · OUR OWN LEAD OPS

Lead intake, fully automated

From "I filled out a form" to "the team is on it" in about two seconds — no one on our side touching a keyboard. This is the stack we build for clients, running our own front door.

The ritual we refused to do by hand

Most studios run their inbound leads through a person: read the email, guess how serious it is, copy the details into a spreadsheet or CRM, remember to follow up, hope nothing slips. It's exactly the kind of repetitive, judgement-light work we tell clients to automate — so we automated our own.

How it works, end to end

Every step below is wired and live. A prospect answers three short questions; software does the reading, sorting, filing, and hand-off.

01
~5 MIN · THE ONLY HUMAN INPUT

A prospect fills the form

Three honest steps — what eats their time, where the work lives, budget and timeline. That's the last time a human types anything in this whole flow.

02
~2 SEC · AI TRIAGE

GPT reads it and writes a brief

Not a template — it reads their actual words, summarizes the situation, suggests an engagement tier, and flags risks a person might miss.

AI TRIAGE BRIEF · gpt

"Dispatch burns ~90 min every morning hand-rebuilding a route spreadsheet before drivers can leave — and peak season is 6 weeks out, so it compounds fast."

Suggested Build — mirrors our 2-hr → 6-min dispatch dashboard
⚠ Build is 3–6 wks vs a 6-wk deadline — stage delivery, or Pilot the core step first
03
INSTANT · CRM

A tagged record files itself in Notion

Priority, deal size, suggested tier, and a respond-by date that encodes our two-day promise — all derived automatically. No copy-paste, no "who's got this one?"

Dispatch rebuilds a route spreadsheet by hand every morning — ~90 min before drivers leave. Peak season in 6 weeks.
04
INSTANT · TASKS

Next steps become tracked work

The brief's action items turn into real task rows, linked back to the lead and due on the SLA date. Nothing lives in someone's head or an inbox.

INSTANT · HAND-OFF

The team gets pinged in Slack

A rich card lands in the channel with the brief and a one-click link. Whoever's free claims it — the two-day clock is already running.

Why it's built this way

The deterministic parts — the respond-by date, the dedupe, the delivery — are plain rules, so they're predictable and auditable. Only the judgement-shaped part (reading the free text and drafting the angle) goes to AI, and even that is a draft for a human, never something sent to the prospect. Automate the reliable 80%; keep a person exactly where judgement matters.
